Chaos of Solopreneurship
Let’s be real - solopreneurship can feel like juggling flaming swords while riding a unicycle on a tightrope.
Dramatic? Maybe.
Accurate? Absolutely.
I remember waking up one morning with my brain already running full speed.
I had an idea for a new offer, a client email to reply to, content to post, finances to review, and oh—have I eaten breakfast? Probably not.
My to-do list was scattered across sticky notes, half-written Notion pages, voice memos I forgot to label, calendar entries and everywhere in between.
Sound familiar?
“Where did I write that idea down?”
“Did I actually send that invoice or just think I did?”
“Wait, what am I supposed to post today?”
“How do I get all this done and take care of myself?”
This is the mental load solopreneurs carry every day.
It’s not just about tasks—it’s about constantly switching between being the visionary, the marketer, the accountant, the content creator, and the admin assistant… all before lunch.
And truthfully, it’s exhausting.
Why To-Do Lists and Notebooks Aren’t Enough
I used to be a to-do list junkie.
I tried them all.
Started with Trello back in 2011
Then Google Keep,
Evernote,
Ticktick,
Notion
But despite all these tools, I still felt like my brain was a browser with 20 tabs open, all buffering.
Here’s the thing: it’s not that we’re doing too much—it’s that we’re holding too much in our heads.
Keeping track of everything:
projects,
client info,
content ideas,
goals,
finances,
even personal life admin
Without a central system is like trying to build a house without blueprints.
Sure, you might throw something together, but it won’t be stable, and you’ll constantly feel like it’s on the verge of collapse.
To-do lists help you react. But what you really need is a way to think, plan, and create with clarity.
…I still felt like my brain was a browser with 20 tabs open, all buffering…
What’s a Second Brain (and Why Solopreneurs Need One)
So, what exactly is a Second Brain?
The Second Brain is an idea popularised by productivity guru Tiago Forte, and is a system for personal knowledge management that exists outside of your own head.
In simple terms, it’s a trusted external system to store and organize your thoughts, ideas, plans, and tasks—so your mind can focus on what matters: doing the work, not managing it.
Think of it like a digital headquarters for your business and life. A place where everything lives:
Business goals
Marketing strategies
SOPs (Standard Operating Procedures)
Project timelines
Client databases
Journals and reflections
Content calendars
Financial tracking
Daily routines
Brain dumps
It’s not just a fancy way to store notes—it’s a thinking system.
One that helps you stay consistent, creative, and calm.
When you stop relying on your brain to remember everything, something magical happens.
You get your mental bandwidth back.
You stop reacting and start making real progress.
How You Can Build Your Own Second Brain (Without Fancy Tools)
How many brilliant ideas have you had and forgotten?
How many podcasts have left you inspired—only for the message to vanish days later?
How many moments of clarity got lost in a sea of open tabs and scattered notebooks?
Yeah, me too.
The truth is, our brains weren’t built to hold everything. They were built to create ideas, not store them.
That’s where your Second Brain comes in.
What is a Second Brain, really?
It’s not just a productivity hack. It’s a living, breathing digital home for your thoughts, notes, ideas, insights, and inspiration—a place to offload your brain, so you can stay present and focused, instead of constantly chasing mental tabs.
It’s a system for saving and systematically reminding you of the lessons, inspiration, and plans you’ve collected over time—so when you need them, they’re right there waiting for you.
And guess what? You don’t need Notion to get started.
You Can Build a Second Brain With What You Already Have
You already create little nuggets of knowledge every day—notes from calls, screenshots, ideas during walks, lists from books and podcasts.
But without a central home, those gems get lost.
Let’s fix that.
Here’s how to build your Second Brain using tools you likely already use.
🧠 The Four-Part CODE Framework (Your Roadmap)
To make building your Second Brain simple and foolproof, use the CODE system:
Capture
Organize
Distill
Express
Let’s break it down 👇
1. 📥 Capture – Save What Resonates
Think of capturing like curating your personal museum of thoughts.
You don’t need to save everything—only the stuff that truly resonates. Save that brilliant quote, the nugget from a podcast, the message that made you pause.
Ask yourself:
Would this help future me solve a problem?
Does this align with a current project or challenge?
Will I want to remember or act on this later?
Tools to Use:
Google Drive / Docs – Save written notes, brainstorms, drafts
Phone Notes App – Use voice-to-text when you’re on the go
Readwise / Pocket / Instapaper – Save & highlight articles to revisit later
Screenshots folder – Don’t just snap pics, store them in your “Idea Vault”
💡 Pro Tip: Create a folder or doc named “📥 Inbox” where all new stuff goes before it’s sorted.
2. 🗂️ Organize – Make It Findable
Once you’re capturing regularly, you’ll want to organize your info so it’s actually useful.
Don’t worry—this isn’t about making 100 folders and spending all day labeling files.
You just need a system that makes it easy to find what you need when you need it.
Try using the PARA method, which organizes your Second Brain by action, not just category:
Projects: short-term outcomes you’re actively working on
Areas: long-term responsibilities (health, finances, marketing)
Resources: topics of interest, inspiration, someday-maybe stuff
Archive: stuff that’s done, outdated, or on pause
🎯 Example:
In Google Drive, create these four main folders. Inside “Projects,” you might have a folder for “Course Launch,” “Client Work,” or “New Website.” Simple. Clear. Actionable.
3. 💎 Distill – Keep Only What Matters
You’re not trying to build a digital junk drawer—you’re building a thinking system.
So once you’ve captured something, highlight the key points.
Make quick summaries.
Use bold headers or emojis to flag ideas you want to revisit.
This is how your Second Brain becomes a tool for thinking, not just a content graveyard.
Ask:
What’s the big idea here?
How does this connect to what I’m doing now?
Is this actionable or just interesting?
“How do I make what I’m consuming right now easily discoverable for my future self?”
📌 Tip: Add a TL;DR at the top of your notes with the key takeaway.
4. ✍️ Express – Turn Knowledge Into Output
Your Second Brain isn’t for hoarding info.
It’s for using it—to write content, make decisions, build offers, coach clients, and solve problems.
When you sit down to work, create, or plan, go to your Second Brain first.
Search “sales” or “burnout” or “Q2 goals” and pull from the insights you’ve already saved.
This is how you start creating from abundance, not from scratch every time.
🔧 Bonus: Tools You Already Own = All You Need
You don’t need to buy or build anything fancy to start. Just commit to consistency over perfection.
Here’s a basic setup you can start using today:
🌱 Start with a Clean Slate
Overwhelmed by your old notes and messy files?
Here’s the hack:
Create a folder called “Archive – April 2025” and move everything in there.
Boom.
You’re free.
Start fresh.
From now on, everything new goes through your CODE system.
Your brain—and your future self—will thank you.
How I Built My Own Second Brain (and What It Changed)
After hitting my personal productivity rock bottom, aka writing a blog post in one window and family trip in another while forgetting a Zoom call with a client, I realized I didn’t need another productivity hack. I needed a system—one place for everything.
That’s when I built my own Second Brain using Notion.
Not just a bunch of pages, but a real structure—with interconnected dashboards, workflows, and templates that made sense for my solo business.
Before:
I was scattered, overwhelmed, and constantly behind.
Important info was buried in random apps or notebooks.
I felt busy all day but rarely accomplished what mattered.
After:
Everything had a place—every task, every note, every idea.
I could quickly find what I needed, when I needed it.
I actually started enjoying the process again.
And the best part?
I finally had space to dream bigger, plan smarter, and take breaks without guilt.
Why Is My Second Brain Superior?
Unlike other Notion templates, my Solopreneur Success Second Brain isn’t just a collection of pages—it’s a complete ecosystem designed for solopreneurs.
Here’s how it helps you take control:
🚀 Productivity Command Center
Centralized task and project management to keep you on track.
An Inbox system to capture ideas before they slip away.
Integrated calendar and planning tools for effortless execution.
💼 Business Operations Hub
CRM system to manage clients and track deals.
Finance dashboard to monitor income, expenses, and subscriptions.
SOPs and Tech Stack to streamline workflows and automate tasks.
📚 Personal Growth & Development
Habit & Goal Trackers to maintain consistency.
Learning Hub for books, courses, and skill-building.
Journaling & Fitness Planner to support overall well-being.
Everything is seamlessly connected—so you can think, create, and grow without distraction.

Want One for Yourself?
Solopreneurship is hard—there’s no sugarcoating it.
But it doesn’t have to feel chaotic all the time.
You don’t need to be “more productive.”
You need support—even if that support is a digital system that’s got your back 24/7.
Want a simple step to take today?
👉 Write down everything that’s currently living in your brain.
Then ask: Where does this live?
If your answer is “nowhere” or “in five different places,” it’s time to make a change.
This is exactly why I built Solopreneur Success Second Brain, to give solopreneurs a place to think, plan, and grow.
After refining this system for myself (and a couple of beta testers who tested and loved it), I turned it into something that others could use right out of the box:
✨ Solopreneur Success Second Brain (SS2B) ✨
It’s not just another Notion template—it’s a plug-and-play system specifically for solopreneurs who are tired of juggling everything in their heads.
It helps you:
Capture ideas before they disappear
Organize your content and offers
Manage clients and projects with ease
Track your finances
Actually plan for rest and growth
No more app-hopping.
No more sticky note avalanches.
Just clarity, consistency, and a little peace of mind.
Bonus: Tips to Start Clearing Mental Clutter Today
Create a “brain dump” page in Notion or your notes app
Set up a weekly review to check in with your goals
Start tagging your content and tasks by category (Marketing, Admin, Clients, etc.)
Archive what’s no longer relevant—it’s okay to let go of old ideas
Choose one app or system and stick to it (consistency > complexity)
Finally…
You don’t need to do it all alone—and you certainly don’t have to hold it all in your head.
The real path to solopreneur success isn’t about doing more—it’s about creating a system that supports you.
One that helps you build, grow, and breathe a little easier.
